C-Suite Executive Assistant to Chief Operating Officer - Permanent, Fulltime position 38 hours per week

 

The Opportunity

This is an exceptional opportunity for a high-performing, fast-paced Executive Assistant with C-suite experience to support the Chief Operating Officer. In this pivotal role, you will oversee complex scheduling, coordinate travel and meetings, manage communications, and serve as a key liaison with internal and external stakeholders. You’ll play a vital role in project support, task prioritisation, and maintaining seamless day-to-day operations—acting as a trusted gatekeeper and strategic partner to the COO.

 

Key Accountabilities

  • Deliver high-quality, confidential administrative support to meet service delivery objectives.
  • Proactively manage and prioritise calendars, adjusting appointments as necessary.
  • Coordinate all aspects of appointments, meetings, events, travel, and expense processing.
  • Prepare for meetings by drafting agendas, compiling briefing materials, taking notes, and tracking follow-up actions.
  • Handle phone calls with professionalism, redirecting or taking messages, and addressing inquiries.
  • Draft, proofread, and refine correspondence, reports, presentations, and other documents.
  • Conduct research and gather information on key topics to support reports and issue responses.
  • Keep Leadership Team members informed of upcoming commitments and relevant issues.
  • Serve as a point of contact for the Leadership Team, coordinating meetings and ensuring clear communication with stakeholders.

 

Your Skills and Experience

  • Over 5 years of experience providing dedicated support to C-Suite executives and senior management.
  • Outstanding interpersonal skills, consistently maintaining a positive and composed attitude under pressure.
  • Exceptional attention to detail in both written and verbal communication, with strong proofreading skills.
  • Demonstrated ability to perform effectively under pressure, consistently meeting tight deadlines.
  • Trusted with handling highly sensitive information with the highest level of discretion and confidentiality.
  • Self-driven and highly efficient, with a proven ability to work independently.
  • Adaptable and proactive, skilled in prioritising tasks to achieve optimal outcomes.
  • Proficient in Microsoft Office and communication tools, with intermediate to advanced expertise.
  • Quick to learn new technologies, rapidly acquiring technical skills as needed.
