The Opportunity
 
We are seeking a dynamic Executive Assistant / Team Coordinator to provide administrative support to our Global Supply Chief Officer and his leadership team. This exciting opportunity is ideal for an experienced and agile Executive Assistant ready to provide essential support to a dynamic and fast paced Procurement Team. In this role, you’ll manage schedules, coordinate appointments and travel, process expenses, prioritise tasks, ensure smooth daily operations, and ensuring all administrative functions run smoothly across the team. 
 
Key Accountabilities
 
• Deliver high-quality, confidential administrative support to meet service delivery objectives.
• Proactively manage and prioritise calendars, adjusting appointments as necessary.
• Coordinate all aspects of appointments, internal & external meetings, events, travel, mail and expense processing.
• Prepare for meetings by drafting agendas, compiling briefing materials, taking notes/minutes, and tracking follow-up actions.
• Draft, proofread, and refine correspondence, reports, presentations, and other documents.
• Manage the Procurement Team’s Intranet Page.
• Keep the broader Procurement team members informed of upcoming commitments and relevant issues.
• Serve as a point of contact for the Procurement, coordinating meetings and ensuring clear communication with stakeholders.
• Manage other administrative tasks as they arise.
 
Skills and Experience Required
 
• Over 5 years of experience providing dedicated support to executives and senior management.
• Outstanding interpersonal skills, consistently maintaining a positive and composed attitude under pressure.
• Exceptional attention to detail in both written and verbal communication, with strong proof reading skills.
• Trusted with handling highly sensitive information with the highest level of discretion and confidentiality.
• Demonstrated ability to perform effectively under pressure, consistently meeting tight deadlines.
• Self-driven and highly efficient, with a proven ability to work independently.
• Organised, adaptable and proactive, skilled in prioritising tasks to achieve optimal outcomes.
• Proficient in Microsoft Office and communication tools, with intermediate to advanced expertise.
• Quick to learn new technologies, rapidly acquiring technical skills as needed.
