We are seeking an experienced administrator to become a key member of our friendly Medical Services team at Wollongong Private Hospital. In this role you will be one of the key administrative supports to our Medical Services team.

About You

To succeed in this role, you will be a committed team player with very strong organisational skills. You must bring excellent time management skills along with the ability to effectively engage varied stakeholders ranging from hospital executives to front-line clinical staff.

Key Responsibilities:

  • Provide administrative support for the preparation, distribution, and filing of quality and IPC documentation, reports, meeting minutes, and action plans.
  • Maintain up-to-date records, databases, registers, and logs related to quality improvement, incidents, infection control, and staff education.
  • Support data entry and compilation of reports for internal and external compliance, accreditation, and performance monitoring.
  • Assist in preparing presentations, graphs, and visual reports for meetings and audits.
  • Liaise with clinical and non-clinical teams to support communication and documentation flow.
  • Maintain confidentiality and ensure documentation is handled in accordance with hospital policy and regulatory requirements.
  • Assist with creation, formatting and upload of document or assistance with the document control process of the hospital

Key Skills and Attributes:

  • Excellent organisational and time management skills with a keen attention to detail.
  • Strong communication and interpersonal abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience with SharePoint sites
  • Discretion and confidentiality in handling sensitive healthcare information.

Qualifications and Experience:

  • Certificate or Diploma in Business Administration or related field (desirable).
  • Previous experience in a healthcare setting, preferably in quality, compliance, or infection control support roles.
  • Understanding of hospital quality systems and/or infection prevention practices is an advantage.

Requirements

  • Must provide a National Police Check conducted within the previous 12 months
