About The Role

As our Senior Medical Secretary/ Referral Management for the consulting suites, you are responsible for providing administrative support and assistance to patients and their families upon their arrival to the clinic.

Your Skills and Experience

  • Enthusiastic individual with a passion for customer service and ability to thrive in a busy clinical environment.
  • Strong interpersonal and empathetic communication skills to manage multiple doctors’ appointment diaries, phone calls, and emails simultaneously.
  • High level of computer literacy, including proficiency in Microsoft Office Suite and clinical management systems.
  • Ability to coordinate effectively with staff across multiple departments.
  • Competence in performing clerical tasks such as data entry, billing, banking, and stationery ordering.

 

About You

  • Minimum 3 years’ experience in senior medical administration within a mental health setting.
  • Proven expertise in referral management systems, including triage and coordination of multidisciplinary mental health teams.
  • Advanced knowledge of Medicare billing, private health fund claims, and compliance with mental health confidentiality laws.
  • Strong communication and multitasking skills, comfortable working collaboratively with doctors, nurses, psychologists, and both clinical and non-clinical staff.
  • Demonstrated team management and leadership skills, including supervising administrative staff and ensuring workflow efficiency.
  • Ability to work flexible hours and manage high-volume, sensitive referrals.

 

Highly Desirable Criteria:

  • Master’s in Healthcare Administration (or equivalent).
  • Bachelor of Medicine and Surgery (MBBS) or similar clinical qualification.
  • Demonstrated experience in mental health referral pathways, including psychiatric inpatient and outpatient services.
  • Strong understanding of Australian mental health legislation and privacy compliance

 

Remuneration: On offer is base hourly rate ranging from $32.29 + superannuation + levels of experience and qualifications.

Requirements

  • Provide or complete a National Police Check (conducted within the last 12 months)
