The Ward Clerk plays a vital role in supporting the efficient operation of the clinical ward by providing administrative and clerical support to nursing staff, medical officers, and the multidisciplinary team.

The role is responsible for coordinating patient administration processes, managing communication within the ward, and ensuring accurate documentation and data entry within hospital systems.

The Ward Clerk contributes to a positive patient experience by ensuring smooth coordination of ward activities while supporting clinical staff to focus on the delivery of safe, high-quality patient care.

Administrative and Clerical Support

  • Provide administrative support to the Nurse Unit Manager and clinical team.
  • Maintain accurate patient records and ensure documentation is appropriately filed and updated.
  • Manage incoming and outgoing phone calls, enquiries, and communication within the ward.
  • Coordinate patient admissions, discharges, and transfers in collaboration with clinical staff.
  • Ensure accurate patient information is entered into hospital information systems.

Patient Flow Coordination

  • Assist with ward logistics including patient movement, transport bookings, and appointment coordination.
  • Liaise with other departments including theatre, radiology, pathology, and allied health.
  • Ensure patient charts, documentation, and electronic records are prepared and maintained.

RevTech System Management

  • Utilise RevTech systems to facilitate completion of certificates.
  • Work collaboratively with nursing and medical staff to ensure appropriate documentation is captured for billing and reporting purposes.
  • Support compliance with hospital revenue and activity management processes.

Communication and Customer Service

  • Provide a welcoming and professional first point of contact for patients, families, and visitors.
  • Facilitate effective communication between nursing staff, medical officers, and other hospital departments.
  • Maintain a calm and professional approach in a fast-paced clinical environment.

Skills and Experience

Essential

  • Previous administrative or clerical experience in a healthcare or customer service environment.
  • Strong organisational and time management skills.
  • Excellent communication and interpersonal skills.
  • Ability to manage multiple tasks in a busy clinical environment.
  • Strong attention to detail and accuracy in data entry.
  • Proficiency in hospital information systems and Microsoft Office applications.

Desirable

  • Experience working in a hospital ward clerk or health administration role.
  • Experience using RevTech or similar hospital revenue management systems.
  • Understanding of certificate management and patient documentation
